Summary of Position:

This important role as greeter and director of first impressions creates hospitality and warmth for our staff, clients, and visitors. Performs administrative and office support activities. Duties include fielding telephone calls, receiving and directing visitors, word processing, and filing. Act as a SkyWire brand ambassador.

Essential Duties and Responsibilities:  
•Answer and transfer incoming telephone calls 
•Data entry and file maintenance 
•Greet and welcome guests as soon as they arrive at the office. 
•Direct visitors to the appropriate person and office. 
•Ensure reception area is tidy and presentable, with all necessary stationery and material 
•Provide basic and accurate information in-person and via phone/email 
•Provide additional administrative support for the operations, marketing, sales, and accounting team as requested 
•Maintains Outlook calendar(s) in current and accurate status for executive team 
•Coordinates meetings and conference calls as needed
•Act as liaison between SkyWire and its employees and vendors, landlord 
•Coordinates travel arrangements for the executive team as needed 
•Responsible for keeping inventory of all office supplies and placing orders for replenishment as needed. 
•Maintain a clean and well stocked break room, supply closet, and conference room(s). 
•Distribute incoming mail, packages, and deliveries in a timely manner. 
•Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
•Special Projects as assigned.
Minimum Competencies: 
•Exceptional customer service skills, over the phone and in person, with our customers and internal departments as well as via email.
•Excellent verbal and written communication skills with the ability to convey complex and/or detailed information to multiple individuals with differing knowledge levels. 
•Extensive software skills, including MS Office, and internet research abilities are required.
•Strong work ethic. 
•Highly organized and detailed oriented. 
•The ability to handle multiple projects under pressure and deadline.
•The ability to solve problems effectively and independently if necessary.
•Strong sense of urgency and problem-solving skills.

Working Conditions: 
•Must be able to remain stationary for at least 50% of shift.
•The person performing this role would frequently need to move office supplies and packages weighing up to 30 lbs. 
•Constantly communicates with visitors and employees through various channels and must be able to provide accurate information during these exchanges. 
•Needs to occasionally move about the office in order to access file cabinets, storage areas, etc. 
•Constantly operates a computer and other office productivity equipment such as copy machine and printer.
